We are seeking a highly organised, analytical, and experienced Finance Manager to oversee the financial operations of HHUGS. This role involves managing financial procedures, reporting, reconciliations, budgeting, cash flow monitoring, Gift Aid submission, payroll, and expenses. Additionally, the Finance Manager will play a key role in supporting caseworkers with financial assessments for beneficiaries, ensuring efficient and effective processes.

Key Responsibilities

Financial Management

  • Oversee financial operations, ensuring accurate and up-to-date records using Xero, including managing income, expenditure, restricted income, and grant analysis.
  • Perform monthly bank reconciliations and address any outstanding queries promptly.
  • Administer payroll, ensuring compliance with HMRC and pension regulations.
  • Manage payments to beneficiaries, ensuring proper authorisation and timely processing.

Budgeting & Forecasting

  • Prepare and monitor organisational budgets, tracking actual vs. budgeted expenditure.
  • Ensure accurate cash flow forecasting to maintain financial sustainability.
  • Contribute to the development of financial policies, including reimbursement protocols and expenditure controls.

Reporting & Administration

  • Provide regular financial reports, including income/expenditure, cash flow, and variance analysis, to senior management and trustees.
  • Assist with year-end reporting and liaise with external auditors to produce accurate statutory accounts.
  • Oversee Gift Aid submissions and ensure tax-efficient donation processing.
  • Ensure compliance with financial regulations, including VAT, HMRC, and charity law, as well as the SORP (Statement of Recommended Practice).

Beneficiary Financial Assessments

  • Work closely with caseworkers to enhance the financial assessment process for beneficiaries, including reviewing and analysing bank statements and financial documents.
  • Provide guidance and expertise to ensure accurate evaluations of beneficiaries’ financial situations.
  • Develop and implement tools or systems to streamline financial assessments, ensuring adherence to best practices.
  • Train caseworkers in financial analysis techniques where needed, fostering greater understanding of financial documentation.

Fundraising Support

  • Track grants, donations, and sponsorships, ensuring funds are spent in line with agreements.
  • Support fundraising activities by monitoring income, costs, and compliance with the charity’s financial policies.

Communication & Coordination

  • Provide financial advice and reports to the CEO and board of trustees.
  • Liaise with external agencies, such as accountants, auditors, and banks, to ensure smooth financial operations.
  • Help develop strategic financial plans, ensuring efficient resource allocation.

Person Specification

Qualifications

  • Part-qualified or qualified in AAT, ACCA, CIMA, or equivalent (desirable).

Knowledge, Skills, and Experience

  • Minimum 3 years’ experience in a finance role, with strong bookkeeping and accounting skills (essential).
  • Experience using Xero or similar accounting software (essential).
  • In-depth knowledge of charity accounting practices, including Gift Aid, payroll, and restricted funding (essential).
  • Proven experience with budgeting, cash flow forecasting, and financial reporting (essential).
  • Excellent attention to detail and strong analytical skills (essential).
  • Ability to manage multiple deadlines in a fast-paced environment (essential).
  • Strong communication skills, both written and verbal (essential).
  • Experience in the charity sector or working with disadvantaged communities (desirable).
  • Knowledge of financial forecasting and management systems in a charitable context (desirable).

TERMS & CONDITIONS

The post holder must be available for the core hours of 9am-5pm weekdays from our office. Occasional work on evenings and weekends is required. Salary is dependent on experience with holiday allowance for 30 days per annum. The post holder must be legally entitled to work in the UK, with no contra-indications in personal background or criminal record indicating the unsuitability to work with children, youth, ex-offenders, vulnerable clients and finance.

The post holder will undertake any other duties of a similar nature, which are commensurate with the grade and seniority of the post.
